Having all of your digital assets efficiently sorted is essential for ensuring the smooth running of your business. A tidy system prevents issues such as duplication, which is a waste of time and effort, and will save your staff a lot of hassle when they need to locate a particular file.

With all of that in mind, here are five handy ways to categorise your digital assets so you always know exactly where they're located, saving you and your employees precious time and money along the way.

Sort your assets by file type

If you have a large assortment of file types – from images to videos, spreadsheets, music clips and more – then one way to organise them is by file type. In that case, all of the images would go together in one section, all of the videos in another, and so on. These main categories can then be further sub-divided.

By date

Another way to sort your data is chronologically. You can create folders for each week, or each month, or perhaps even each year, and sort the assets into those folders according to when they were created.

By project

A more specific way to organise assets is by using the name of the project they are related to. For instance, if your business is in charge of a marketing campaign for another company, you can save all files into a folder with the name of the campaign. This makes assets very easy to find, and is helpful for anybody working on a particular project.

By subjects

If you have a variety of files related to different areas, such as ‘newsletters’, ‘leaflets’ or ‘brands’, then you can group them accordingly. As with sorting by file type, this is a more generalised method of categorisation, but you can have further subdivisions within those folders to help your employees locate a particular asset quickly and efficiently.

By client

If you work with a number of different clients, or if you do several projects for a few big clients, then you can sort your assets accordingly, labelling folders with the name of each client. That way, you will have a well-organised record of all of the work you have done for company.
